Semres can offer a QubeSheets photo survey after a customer submits an inquiry through a supported moving page. The customer chooses whether to request the texted photo link. SmartMoving and Chariot tenants can use this survey entry point, but the inventory handoff differs: SmartMoving uses a separately configured native connection, while Chariot uses a reviewed export-and-import process.
Separate the inquiry from the inventory
The page first captures the request for help. The photo survey is a subsequent, optional step that helps the mover collect information about the items being moved. A person who skips the survey still submitted an inquiry, and the office should follow up rather than assume they abandoned the move.
QubeSheets describes photo-based inventory, customer self-upload, and live video walkthrough features on its own website. Those vendor capabilities are broader than this particular page flow. The offer discussed here asks QubeSheets to create a project and send a photo-upload link; it does not book a move or automatically schedule a video appointment.
Configure the account before offering the survey
The moving company needs its own QubeSheets account and a valid API key stored through the Semres integration settings. The survey setting must also be enabled. A toggle alone does not make the integration usable if the credentials are missing, and a saved integration does not bypass the company’s delivery controls.
Use an approved test setup to walk through the customer experience. Confirm the intended account owns the project, the recipient is appropriate for the test, and staff know where to find the resulting inventory. Treat the page feature, outbound delivery permission, and CRM connection as separate checks rather than assuming that one green setting proves all three.
Explain what happens when the customer asks for a link
After successful capture, an eligible customer can choose the photo-survey offer. A usable phone number is needed for the text. Semres uses the contact information already captured with that inquiry to request the project; the customer should not have to re-enter a different number into a second public form.
If the link cannot be sent, the inquiry remains saved. Ask the customer to continue with the moving office instead of repeatedly submitting the inquiry. Staff should check an uncertain delivery before creating another project, because a delayed or ambiguous response does not establish that the vendor sent nothing.
Use the correct handoff for your CRM
For SmartMoving, finished inventory travels through the QubeSheets-to-SmartMoving integration that the company configures with those services. Semres is not a universal inventory synchronizer between them. Verify the destination opportunity and the native integration settings with a test before telling estimators the inventory will already be there.
For Chariot, plan a reviewed export-and-import handoff. Someone should inspect the completed inventory, confirm the matching customer or job, and transfer it through the workflow your team has agreed. Do not describe this as automatic Chariot write-back. Supporting the initial survey request is different from automatically updating every field in the CRM.
The inquiry handoff is separate again. Token-based booking pages are capture-only. Public realtor pages can push leads to SmartMoving when authorized and configured, while Chariot inquiry follow-up remains a captured-lead workflow. Keep these distinctions in your internal instructions so staff do not wait for a record that was never meant to be created automatically.
Review inventory before using it in an estimate
Ask customers to include the spaces that are easy to forget: storage areas, garages, sheds, and items at another pickup location. The estimator should still discuss items that are hard to identify, packing needs, stairs, elevators, parking, and access. Photos help inform an estimate; they do not independently confirm the complete service requirements.
A useful pilot ends with an estimator reviewing one test inquiry and its inventory, then explaining the next action without guessing. Record who handles missing photos and how corrections reach the estimate.
